In certain cases, you may need to extract substantial amounts of information from Sonas. Below are the various ways to export data from the system.

If you cannot see this section or get permission denied messages with any of the actions, please contact your Company Admin in order to get the required permissions.

How to Export Data

Enquiries
Go to your Enquiry List and apply the desired filters (e.g., all statuses, all types). Then select Actions > Export. You can download the file in Excel, CSV, or ODS format. The export includes all key information such as the client name, enquiry date, event type, and enquiry source.

Events
Navigate to your Event List and use the filters to refine your results. Click Actions > Export. Available formats include Excel, CSV, and ODS.

Event Details
For each event within your specified timeframe, open the event and download the full overview. This will be in PDF format and includes the event timeline.

Guest List
Within the event's guest list, go to Actions > Export to download the guest list in Excel, CVS or ODS format. This includes table assignments, guest roles, and meal choices.

Transactions
From within an event's transaction section, navigate to Actions > Statement of Account (a financial templates). This provides a detailed account breakdown in PDF format.

Finances
Access the Finance section to export any required financial reports. For more information, refer to the Accounting Reports section, which outlines the three available report types and the data included in each.

Reports
Navigate to your Reports section. To export a report, click the three horizontal lines in the top right-hand corner of the chart and select your preferred download format.

Data Security

Please note that all of the above exports may contain personal or sensitive customer data. It is strongly recommended that you store this information in an encrypted folder that complies with GDPR requirements to ensure data protection and confidentiality.
