There are two forms of notes that are used within Sonas. Private notes can be added by staff members for only the venue to see whereas public notes can be added (and edited) by you and your customers as part of the wedding planning process.
Private notes that are only visible to the venue staff, can be added to any page on Sonas to highlight actions or log any extra activities, details or concerns associated with that particular section. The full list of private notes can be viewed in the Notes section, within each event’s planning sub-menu. These notes can be used for all sections but are particularly useful to document phone calls, meetings and any other useful information for staff during the initial sales process.
Within each event, additional notes can be included on each section of the wedding planning. As with all of the planning sections, the couple can also add in additional notes as part of the organising of each event. Unlike the private notes mentioned above, this additional information will be visible to the couple too. The information provided in the planning sections will also populate in the event’s overview in the relevant section.
In each of the planning sections, the text boxes in which you can input additional information is not always called notes. Below is a list of the event planning sections highlighting where you will find the “notes” area for each:
Ceremony - called “notes” you can add in information under the primary and secondary area drop down menus.
Timeline - each timeline entry has a “notes” section under the name text box
Guests - each guest has a “notes” section under the special requirements section in their information. There is also a “notes” section under the table planning menu (but the table plans are printable separate from the overview so will not be found there)
Food Menu - Additional information can be entered with each course of the menu choice which will appear on the overview. In this instance it is called “anything you’d like to let us know”.
Drinks Order - “Section notes” can be found under each part of the drinks order e.g. reception drinks, table drinks etc.
Bar Options - If your customers choose the pay bar option, they can input additional information under “additional requests”.
Supplier Services - Each service can include a “Q & A” section
Items - information can be added in the text box titled “purpose”
Notes are also available within the tastings menu when booking a tasting at your venue. Similarly to the Food Menu planning section above, when you or the couple are booking their food options for the tasting, each course has a text box which reads "please enter any specific instructions you might have for this section".
